Review and categorise bank transactions

Adam categorises your bank lines for you. Your job is to check them, fix any that are wrong, split mixed payments, and link customer and vendor payments to their invoices and bills.

See what needs attention

Open a bank from Banking → Bank Accounts. The Bank transactions tab starts with the Reconciliation summary:

  • Book balance: the balance worked out from these transactions.

  • How many lines are Categorized, Recognized, Processing and Uncategorized, with their totals.

Below it, each line shows its Date, Category, Status, Narration, Type (Credit or Debit), Amount, Contact and Attachment.

Split one line across accounts

Use Split when one payment covers several things, for example a card payment for software and office supplies.

  1. Open Transaction reconciliation and choose Split.

  2. Pick an account and enter an amount for each part. Click Add Split for more lines.

  3. Check that Total equals the transaction amount, then click Save.

Match a payment to an invoice or bill

Use Match when money in pays a customer's invoice, or money out pays a vendor's bill.

  1. Choose Match.

  2. Under Select receivable (money in) or Select payable (money out), pick the invoice or bill. Tyms shows a Match Score to help you choose.

  3. Click Add Match to pay several invoices from one deposit, then Save.

The payment is recorded on the invoice or bill, so no second income or expense is created.

Merge with a payment you already recorded

If you already recorded the payment on the invoice or bill, use Merge so it isn't counted twice. Pick the payment under Merge with, then Save.

Lines already linked to a payment can't be merged again. Uncategorize the line first, then merge.

Accept Adam's suggestions

Recognized lines have a category Adam suggested but hasn't posted yet. Select them and click Accept recognition to post them all at once.

Work on many lines at once

Tick the lines you want. The toolbar shows Export selected, Duplicate, Bulk Categorize and Delete. Bulk Categorize handles up to 25 lines at a time.

Bulk actions

Undo a category

Click ⋮ on the line and choose Uncategorize. The line goes back to Uncategorized.

Tips

  • Fixing the same thing again and again? Turn it into a bank rule. See Create and manage bank rules.

  • Transfers between your own accounts should go to the other bank account, not to income or expenses.
