Create and manage bank rules

Bank rules tell Adam exactly how to categorise transactions that match your conditions. For example, every Stripe payout is Service revenue. Rules run before Adam's own judgement, so your books stay consistent.

Where to find them

Go to Banking → Bank Rules. Each rule shows its Name, Status, Conditions and Outcome.

Bank rules

Create a rule

  1. Click Create Rule → Create one manually.

  2. Enter a Rule name, e.g. Stripe payouts.

  3. Choose the Rule approach:

    • Apply all the conditions (AND): every condition must match.

    • Apply any of the conditions (OR): one match is enough.

  4. Optionally pick a Bank Account to limit the rule to one bank.

  5. Add conditions: IF field operator value. Click Add condition for more.

  6. Add outcomes: SET Account AS the account. Click Add outcome to also set a Contact, Branch, Department or Project.

  7. Leave Make active on save ticked. Tick Apply to historical transactions to recategorise lines you've already brought in.

  8. Click Submit.

Tips

  • Use words that are always in the narration, such as GUSTO PAYROLL, not reference numbers that change each time.

  • Add Type when the same name appears both ways, e.g. refunds from a vendor you also pay.

  • Faster option: when you change a category, tick Apply this categorization to similar transactions.
