Which one should I use?
Use | When | What it does in your books |
Invoice | You deliver now and the customer pays later | Records the sale and what the customer owes you (accounts receivable) until it's paid |
Income | The customer has already paid (cash sale, walk-in, online payment) | Records the sale and the money received in one step |
Quote | You're proposing a price before the customer agrees | Records nothing in your books. Convert it to an invoice or income once it's accepted |
You'll find all three under Revenue in the sidebar, together with Recurring Invoices for bills you send on a schedule.
Invoice statuses
Status | Meaning |
Draft | Saved but not issued. It doesn't affect your books yet |
Due soon | The due date is close |
Overdue | The due date has passed and there's still a balance |
Paid | Fully paid |
A part-paid invoice keeps its due status (for example Due soon), and the Balance column shows what's still owed.
Three ways to create any sales record
Click Create Invoices (or Create Income, Create Quotes) and choose:
Ask Adam: describe the sale or upload a document, and Adam creates the record.
Create manually: fill in the form yourself.
Import Excel: upload many records at once from a spreadsheet.
